This policy explains how Hardwood Landscape Construction Limited (“Hardwood Landscapes”, “we”, “us”) collects and uses personal data when you visit hardwoodlandscapes.co.uk, enquire about a project or work with us. We are the data controller for that information, and we handle it in line with the UK GDPR and the Data Protection Act 2018.

2. The information we collect

Information you give us

When you complete our enquiry form, email us or speak to us about a project, we collect your name, email address, phone number, postcode, the service you are interested in and anything else you choose to tell us about your garden or project.

Information we collect automatically

If you consent to analytics or marketing cookies, we collect information about how you use the site - pages viewed, approximate location, device and browser type, and how you arrived. No analytics or marketing cookies are set until you agree to them. Our Cookie Policy sets out exactly what is used.

Information from other sources

We may receive your details from a referral, a designer or architect working on your project, or a directory such as the Association of Professional Landscapers.

3. Why we use it, and our lawful basis

  • To respond to your enquiry and quote for work - because it is necessary to take steps at your request before entering into a contract.
  • To deliver and manage your project, including scheduling, site visits, invoicing and aftercare - performance of our contract with you.
  • To improve our website and understand how it is used - your consent, given through the cookie banner.
  • To send you occasional updates about our work, where you have asked for them - your consent, which you can withdraw at any time.
  • To keep proper business, accounting and insurance records - our legal obligations and our legitimate interest in running the business responsibly.

4. Who we share it with

We do not sell your personal data. We share it only where we need to:

  • Service providers who help us run the business - our website host (Webflow), email and cloud storage providers, accounting software and, where you have consented, analytics and advertising platforms.
  • Subcontractors, suppliers and specialists working on your project, where they need your details to carry out the work.
  • Our professional advisers, insurers and accountants.
  • Regulators or law enforcement, where we are legally required to.

5. Transfers outside the UK

Some of our providers are based outside the UK. Where personal data is transferred abroad, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum, so that your data keeps an equivalent level of protection.

6. How long we keep it

Enquiries that do not become projects are kept for up to two years, in case you come back to us. Project and client records are kept for seven years after the end of the work, to meet accounting, warranty and insurance requirements. Analytics data is retained according to the settings described in our Cookie Policy. After that, information is deleted or anonymised.

7. Keeping it secure

We use access controls, encrypted connections and reputable providers to protect your information, and we limit access to the people who need it to do their job. No transmission over the internet can be guaranteed completely secure, but we take the protection of your data seriously and review our arrangements regularly.

8. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything that is inaccurate or incomplete.
  • Ask us to delete your data, where there is no good reason for us to keep it.
  • Object to, or ask us to restrict, how we use it.
  • Ask us to transfer your data to another provider.
  • Withdraw your consent at any time, where we rely on consent.

We may update this policy from time to time. The date at the top shows when it was last revised, and any significant change will be highlighted on this page.

12. Complaints
